Event Booking & Deposit Agreement
Effective October 6, 2026. The booking review shown immediately before Stripe Checkout, together with these terms, forms the complete agreement.
1. Supplier and customer
Meaningful Art is the registered operating name of Denys Velychko, an Ontario sole proprietorship, and is the customer's legal supplier. Business address: 2 Newark Street, Nepean, ON K2G 0Y5, Canada. Phone: +1 343-883-3362. Email: support@meaningfulart.ca. GST/HST registration number: 75030 7373 RT0001 (effective October 1, 2026).
The customer is the person named in the booking review. The agreement date is the date Stripe confirms successful payment of the booking deposit.
2. Services and performance
The selected services, package durations, event date and start time, venue, service window, prices and guest estimates are the transaction-specific terms shown in the final booking review. Meaningful Art will provide the selected live art service at that venue during that service window, subject to venue access, artist availability, the customer’s obligations and any public-health or permit condition stated below.
Meaningful Art may perform the services through qualified independent artists, production personnel and operational studios, including Atma Tattoo Temple when assigned to a tattoo service. Those providers do not replace Meaningful Art as the customer's contracting supplier. Guest and artwork quantities described as “up to” are capacity estimates, not guarantees. Actual output depends on guest readiness, design complexity, breaks, safety, venue delays and event flow. Tattooing is provided only to eligible individual participants who complete the event-day consent and safety process.
3. Price, HST and additional charges
All website prices and booking-review amounts are in Canadian dollars (CAD). The final review itemizes each package, subtotal, 13% HST, total, deposit and remaining balance. Meaningful Art collects GST/HST under registration number 75030 7373 RT0001. No hourly surcharge is added to a fixed package.
Travel, accommodation, parking, venue fees, special production and other third-party costs are excluded unless shown in the booking review. Meaningful Art will not add one of those costs or charge it to the saved payment method without giving the customer the amount in writing and obtaining express acceptance.
4. Deposit and reservation
The deposit is 30% of the selected pre-tax package subtotal plus the HST applicable to that deposit. The event date is not reserved until Stripe confirms payment. Once paid, the deposit is credited against the total and Meaningful Art may begin creative planning, artist scheduling, venue coordination, equipment and supply allocation, and applicable event documentation.
5. Remaining 70% and saved payment method
At Stripe Checkout, the customer authorizes Stripe to save the payment method for Meaningful Art and authorizes one automatic charge for the exact remaining balance and exact charge date shown in the booking review. The scheduled date is 14 calendar days before the event. If the booking is made within 14 days, the review will disclose that the balance may become due immediately.
Meaningful Art does not receive or store the complete card number or security code. If the charge fails or requires cardholder authentication, it is not treated as paid; the customer must complete payment promptly after notice. Any change to the agreed amount or date requires a new written disclosure and the customer’s express approval.
6. Customer cancellation and rescheduling
- Before written confirmation and before preparation starts: the customer may cancel in writing for a full refund.
- After written confirmation or preparation starts, but more than 14 days before the event: the balance will not be charged. The deposit is retained only to the extent reasonably attributable to work already performed and approved, non-recoverable costs; any remainder is refunded.
- Within 14 days of the event: the full balance is due because artists and event capacity have been reserved. Amounts already paid are non-refundable except where this agreement or applicable law requires otherwise.
- Rescheduling more than 14 days before the event: one transfer to an available date within 12 months may be requested. Non-recoverable third-party costs and price differences remain payable.
- Rescheduling within 14 days: treated as a cancellation unless Meaningful Art agrees otherwise in writing.
Cancellation or rescheduling notice must be sent to support@meaningfulart.ca in a form that lets the sender prove the date sent. Nothing in this agreement removes a non-waivable right or remedy under applicable consumer-protection law.
7. Meaningful Art cancellation, force majeure and venue failure
If Meaningful Art cancels for a reason within its control and cannot provide a mutually acceptable replacement date or artist, it will refund the affected service amounts paid. Neither party is liable for delay or failure caused by events reasonably beyond its control, but Meaningful Art will offer a reasonable reschedule or refund the portion of the service that cannot be supplied, less only lawful, disclosed and non-recoverable third-party costs.
The customer is responsible for timely, safe venue access, accurate event information and permissions controlled by the customer or venue. A material venue restriction or customer-caused delay may reduce service time and does not automatically create a refund.
8. Tattoo permit and participant conditions
Where Event Tattoo Bar is selected, the remaining balance is released only after required local public-health notification, permit or approval is confirmed. If approval is declined for reasons not caused by the customer or venue, Meaningful Art will not charge the tattoo-service balance and will refund the affected tattoo-service deposit. If approval cannot be obtained because the customer or venue supplied inaccurate information, refused required access or missed a stated deadline, the customer-cancellation terms apply.
Meaningful Art’s policy is 18+ for tattoo participants with valid photo identification. Each participant must receive the procedure and risk explanation, give individual consent, satisfy the artist’s safety screening and follow aftercare instructions. An artist may decline a procedure that cannot be provided safely or lawfully.
9. Artwork, photography and intellectual property
The package includes only the artwork and personalization described in the booking review or later written scope. Meaningful Art retains copyright in original designs unless a written transfer says otherwise. The customer receives the physical/event deliverable and may use it personally. Optional portfolio contact does not grant permission to publish photographs, a likeness or identifiable event content; any such use requires separate permission.
10. Privacy and communications
Personal information is handled under the Privacy Policy, version 2026.10.06-1. Transactional email may be used for booking, receipts, scheduling, safety, permit and service communications. Marketing requires separate consent. Payment data is handled by Stripe as described in the Privacy Policy.
11. Review, correction, acceptance and copy
Before paying, the customer can return to every booking step to correct errors, can decline by closing the flow, and can print or save the review and this agreement. Checking the agreement box and successfully paying the deposit records acceptance. A written transaction summary and agreement copy will be sent to the email provided after Stripe confirms payment. Keep that email and the Stripe receipt for your records.
12. Consumer rights and governing law
This agreement is governed by Ontario law and applicable federal law. Statutory rights cannot be waived. Ontario internet-agreement rules may provide cancellation rights if required information is not disclosed before acceptance or if a compliant written copy is not delivered within the required time. Contact Meaningful Art first at the address or email above; consumers may also obtain information from Consumer Protection Ontario.
